An AI chatbot for a business website can answer common questions from your own content, collect and qualify leads, book appointments and hand the chat to a human when needed, any time of day. It cannot replace your sales team, fix a confusing website or be trusted without limits and testing. For most small and mid-sized businesses in India, a ready-made tool typically costs a few thousand rupees a month. A custom build usually runs from about ₹1 lakh upwards, plus monthly AI usage.
Here is what to expect, what to avoid and how to decide.
What an AI chatbot for a business website can actually do
Older website chatbots were decision trees: click “Pricing”, then “Plan A”, then “Talk to us”. Modern AI chatbots read your content and answer in normal language, so a visitor can type “do you deliver to Howrah on Sundays?” and get a proper answer.
The useful jobs, in order of how often we see them pay off:
1. Answer FAQs from your own content
The bot is connected to your website pages, PDFs, price lists and policies. It answers from that material only. A coaching institute can answer batch timings, fees and syllabus questions at 11 pm, when the office is closed and parents are actually browsing.
2. Capture and qualify leads
Instead of a cold contact form, the bot asks a few questions in conversation: what service, what budget, which area, how soon. It then saves the lead to your CRM, Google Sheet or email with a short summary. A real estate broker gets “2BHK in Rajarhat, budget ₹60 lakh, wants to visit this weekend” instead of “Hi, interested”.
3. Book appointments
Connected to a calendar or booking system, the bot can check open slots and confirm a booking. A physiotherapy clinic in Salt Lake can take bookings after hours without a receptionist.
4. Hand over to a human
A good bot knows when to stop. Complaints, complex quotes, angry customers and anything it is unsure about should go to a person, with the chat history attached so the customer does not repeat themselves.
5. Continue on WhatsApp
Many Indian customers prefer WhatsApp to a website chat window. The same AI can run on the WhatsApp Business Platform for order status, bookings and support. Meta’s terms, effective January 2026, block general-purpose AI assistants on the platform, but bots that support your own business are allowed.
Pricing also matters: Meta charges per message, and from October 2026 each business number gets 1,000 free service messages a month before charges apply, as listed on Meta’s WhatsApp pricing page. Factor this into running costs.
What an AI chatbot cannot do (or should not be trusted to do)
Being honest about limits saves money and embarrassment.
- It can make things up. AI models sometimes give confident wrong answers, called hallucinations. Limiting answers to your own content and saying “I don’t know, let me connect you” reduces this a lot, but not to zero.
- It cannot fix a bad website. If your pricing page is unclear, the bot will be unclear too. Good UI/UX that drives conversions comes first.
- It should not give medical, legal or financial advice. A clinic bot can share timings and prepare-for-test instructions. It should not suggest diagnoses.
- It will not close big deals. It can warm up a lead. High-value B2B sales still need a person.
- It needs upkeep. Prices, policies and offers change. If nobody updates the content, the bot quotes last year’s fees.
Our rule of thumb: if a question needs judgment, a refund decision or empathy, the bot should hand it over.
SaaS chatbot tools vs a custom AI chatbot
This is the main decision. Both are valid.
| Factor | SaaS chatbot tool | Custom AI chatbot |
|---|---|---|
| Setup time | Days | 3 to 8 weeks |
| Setup cost | Low or none | Typically ₹1 lakh to ₹5 lakh, more for complex integrations |
| Monthly cost | Subscription, often ₹2,000 to ₹20,000 depending on plan and volume | Hosting plus AI usage, often ₹2,000 to ₹15,000 for a small business |
| Integrations | Popular CRMs and calendars only | Anything with an API: ERP, billing, booking, custom databases |
| Data control | Stored on the vendor’s servers | You choose where data is stored |
| Branding and flow | Limited to the tool’s options | Fully custom |
| Best for | Small sites with standard FAQs and lead capture | Businesses with their own systems, complex flows or strict data needs |
These are typical Indian market ranges and they depend heavily on scope and traffic. Usage-based costs grow with the number of conversations, so a high-traffic e-commerce site will pay more than a local clinic.
When a website chatbot for small business should be SaaS
If you run a single-location business, your questions are standard and you only need leads in your inbox, start with a good SaaS tool. Spend the saved money on improving your website content, which makes the bot better anyway.
When a custom AI chatbot makes sense
Go custom when the bot needs to read live data from your own systems: stock levels from your inventory, order status from your ERP, slot availability from your clinic software, or student records from your LMS. Also go custom if you have strict rules on where customer data is stored, or need flows in Bengali and Hindi that off-the-shelf tools handle poorly. Our custom software development team builds these with your existing systems in mind.
Data, privacy and the DPDP rules
A chatbot collects personal data: names, phone numbers, sometimes health or financial details. India’s Digital Personal Data Protection Rules were notified in November 2025, with most obligations phased in over 18 months, according to the PIB release on the DPDP Rules.
Practical steps for any AI chatbot for a business website:
- Show a short notice in the chat window explaining what is collected and why, with a link to your privacy policy.
- Collect only what you need. A booking bot needs a name, phone and slot, not a date of birth.
- Check where the AI provider and the chatbot tool store and process data, and whether chats are used to train their models. Many business plans let you turn this off.
- Set a retention period and delete old chat logs.
- Never let the bot pull other customers’ data. Test this deliberately.
How a good chatbot project runs
SaaS or custom, the steps are similar:
- Pick two or three jobs. For example: answer FAQs, capture leads, book demos. Do not start with twenty.
- Clean up the source content. Update FAQs, prices and policies. Remove old PDFs.
- Write the rules. Tone, what it must never say, when to hand over, business hours for human handover.
- Connect the systems. CRM, calendar, email, WhatsApp, as needed.
- Test with real questions. Pull 50 to 100 real enquiries from your inbox and WhatsApp and run them through the bot. Fix wrong answers before launch.
- Launch on a few pages first. Then review conversations weekly for the first month.
For the website side of this, including where the chat widget sits and how it affects page speed, our web development team usually handles it alongside the bot. A heavy chat script can slow a page down, so load it after the main content.
How to measure whether the chatbot is working
Do not judge it by the number of chats. Track:
- Leads captured by the bot, and how many became customers
- Resolution rate: questions fully answered without a human
- Handover rate and how fast humans picked up
- Wrong or “I don’t know” answers, reviewed weekly to improve content
- Bookings made through the bot, for appointment-based businesses
- Monthly cost per lead, including subscription and AI usage
If after two or three months the bot is mostly answering “hi” and “what is your number”, it may be the wrong tool for your audience, or your contact details are simply hard to find on the site. Our post on healthcare website design in Kolkata shows how clear structure makes this kind of tool far more useful for clinics.
Frequently asked questions
How much does an AI chatbot cost for a small business website in India?
A SaaS chatbot tool typically costs ₹2,000 to ₹20,000 a month depending on features and volume. A custom AI chatbot usually needs ₹1 lakh to ₹5 lakh for setup, plus a few thousand rupees a month for hosting and AI usage. Complex integrations with ERP or booking systems cost more.
Can an AI chatbot answer in Bengali or Hindi?
Yes, modern AI models handle Bengali, Hindi and mixed “Hinglish” reasonably well. Test it with real customer messages first, especially for prices and policies. Keep a human handover for anything the bot gets wrong.
Will a chatbot replace my customer support staff?
Usually not. It takes the repetitive questions off their plate, works after hours and passes on better-qualified leads. Your team still handles complaints, complex sales and anything that needs judgment.
Is it safe to connect an AI chatbot to my customer database?
It can be, if it is built carefully. The bot should only access the data it needs, verify the customer before sharing account details, and never expose one customer’s data to another. A custom build lets you control this tightly.
What should I ask an AI chatbot development company in India?
Ask how they stop wrong answers, where the data is stored, whether chats train the AI model, how human handover works and what the monthly running cost will be at your traffic level. Ask for a test with your own real enquiries before you sign off.
